Survey Guidelines
Preparing Your Students
Notify your students at least a week in advance that you would like them to respond to an email student feedback survey from the Teaching Effectiveness Program. Let them know when to expect the survey, explain why you would like their feedback, how you intend to use it. We recommend making the survey an assignment in your syllabus. Make students aware of the deadline for responding (see Survey Timeline) and let them know whether they will be receiving credit.
Remind them during the week to be sure to respond and make sure they are replying to the email message they received from the Teaching Effectiveness Program which identifies you as the instructor. Students must reply to the email we send. It will contain a subject line that reads "Feedback for Your Name." As messages come into our email programs they are sorted by this subject line.
If you want to accept responses after the deadline, students will need to respond to you directly.

Surveys will go out on a Monday. Students have until midnight on Wednesday of that week to respond. Results will be compiled and sent to you on Friday (no later than Monday if the demand is high that week).
Receiving Your Results
Results will be sent to you via email along with a randomized list of student names of those who responded if you are giving students credit. Please make a copy for your files as we do not archive this confidential information. If you have any questions or concerns about your feedback, please contact us and we will set up a time to talk about this. Also, please thank your students for their contributions and let them know if you will be making any changes as a result of their feedback.
Requesting the Survey
When requesting the survey, notify TEP at least a week in advance and provide the following:
- Your full name,
- Department
- Email address
- Faculty or GTF?
- Number of students
- Course name
- Will students receive credit for doing the survey?
- Indicate which week (4,5,6) you'd like the survey sent
- A list of accurate student email addresses only
Sending the List of Student
Email Addresses
Please take the time to get a list of current and accurate email addresses for
your students. We are not able to resend the survey to students who did not
receive it due to an inaccurate address.
The email addresses may be sent in one of two ways. SEND ONLY THE EMAIL ADDRESSES. NO NAMES, PLEASE!
- You may send them in an excel spreadsheet or
- You may send them in a single column list with a comma at the end of each address.
